Work Shift: Day (United States of America)

Compensation Range: $86,000.00 - $131,375.00. In addition, this position will be eligible for additional benefits consistent with the role. The salary of the finalist selected for this role will be determined based on various factors, including but not limited to: scope of role, level of experience, education, accomplishments, internal equity, budget, and subject to Fair Market Value evaluation. The hiring range listed is a good faith determination of potential compensation at the time of this job advertisement and may be modified in the future.

Key Responsibilities

Real Estate Portfolio Support

  • Maintain accurate, up-to-date records of all HSS owned and leased properties, including occupants, lease terms, critical dates, square footage, and financial data.
  • Assist in the preparation, organization, and tracking of LOIs, leases, renewals, amendments, term sheets, and due-diligence materials.
  • Support reporting and dashboards for leadership, including occupancy cost summaries, portfolio maps, and project status updates.

Site Selection & Due Diligence

  • Conduct market research on potential sites, including demographics, zoning, accessibility, and proximity to patient populations aligned with HSS's growth strategy.
  • Gather data for feasibility assessments, including zoning checks, surveys, environmental reviews, building conditions, and compliance considerations.
  • Assist with the coordination with clinical leaders, operations, design/construction, and engineering teams to support site walkthroughs, programming analysis, and early test fits.

Lease Administration

  • Track critical lease dates (renewals, expirations, options, termination windows) and assist in ensuring that HSS meets all notice requirements.
  • Support routine landlord communication, assisting with building rules, tenant obligations, and access requests.
  • Help verify space measurements, service charges, utilities, and rent calculations for accuracy.

Interdepartmental Coordination

  • Work closely with HSS Design & Construction to ensure smooth handoff after site approval.
  • Interface with Legal, Finance, Compliance, Risk Management, and Infection Control as needed to support real estate transactions.
  • Assist Facilities / Engineering with issues related to landlord obligations, building systems, and occupancy readiness.

Financial & Market Analysis

  • Prepare basic financial comparisons and rent analyses to support negotiations.
  • Assist with budget tracking for new sites, expansions, and renewals.
  • Compile data for benchmarking HSS occupancy costs and utilization metrics.

Administrative & Project Support

  • Schedule meetings, prepare agendas, track follow-ups, and assist in preparing presentation materials for senior leadership and Board committees.
  • Support ongoing process improvements around real estate data management, documentation, and workflow coordination.

Qualifications

Minimum Qualifications

  • Bachelor's degree in Real Estate, Business, Finance, Urban Planning, Healthcare Administration, Architecture, Engineering, or related field.
  • Strong interest in healthcare real estate, ambulatory expansion, and facilities planning.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Excellent communication (written and verbal), organizational, and analytical skills.
  • Ability to manage multiple priorities and operate effectively in a fast-paced, high-expectation environment.
  • Strong attention to detail with a commitment to accuracy and documentation control.

Preferred Qualifications

  • Internship or 02 years of experience in commercial real estate, healthcare operations, facilities planning, property management, or construction.
  • Familiarity with core real estate concepts such as LOIs, leases, due diligence, and site selection.
  • Experience with real estate tracking software, lease administration platforms, or basic CAD/GIS tools (a plus but not required).
  • Exposure to healthcare regulatory considerations (DOH, FGI, zoning, DOB) beneficial but not required.
